EVENT EXECUTIVE

You will be a creative & sharp individual who can manage multiple event projects simultaneously and work closely with our Senior Event Producers. Detail-oriented & research driven who has success in conceiving, organising, and managing multiple projects ideally in the events space. You relish a challenge, have the ability to deliver your concepts and research in a proposal style and love seeing your work evolve from start to finish. You are a natural relationship builder who thrives on the relationship management of suppliers and really understands what style and attributes each one brings and who is best suited to each individual client. You love people and crave working in a vibrant and fun environment.

ABOUT YOU

  • Superb Vendor management, research and procurement experience.
  • Excellent communicator on all levels.
  • Respectful with a high degree of integrity.
  • Proficient in Microsoft Office & Adobe suite and Keynote plus.
  • Ideally 5+ years of event coordination and production experience.
  • Highly experienced with all components and aspects of event production.
  • Creative thinker, able to manage multiple projects simultaneously.
  • Able to create and manage all timelines and production schedules.
  • Able to demonstrate a high level of efficiency with outstanding attention to detail.
  • A proven history of team leadership skills.

THE DAY-TO-DAY FUN

  • Research, source and project manage all aspects of the brief.
  • Manage client meetings & presentations.
  • Liaise Creative teams on client needs concerning the creation of design boards, floor plans and sample tables.
  • Liaise with all suppliers and manage supplier agreements.
  • Project Manage the events from conception to finish with impeccable organisational skills and initiative.
  • Liaise with Guest Relations teams on all guest management.
  • Project budget management, development of 6 and 7-figure budgets.
  • Manage profitability of events.
  • Presenting to MD & team at weekly operation team meetings.

CREATIVE EVENT DIRECTOR

ROLE & RESPONSIBILITY

• The successful candidate will have experience in virtual event design software to conceptualize the event design plan which will be presented to the client and creative vendors and venue. They will require to produce complex digital files from concept to finish for assigned eventsSoftware include CAD, InDesign and Photoshop. 

• Collaborate with company Senior Event Director to oversee all aspects of our event designs, including design presentations, staging, lighting, special effects, bespoke installations and rentals management.

• Participate in departmental, planning, and design meetings, as well as in brainstorming sessions.

• The Creative Event Director will work closely together with the Senior Event Director and Producers on all design budgeting, logistics, staffing and on-site installations.

• Managing Props Warehouse – Responsible for managing the team who monitor inventory levels and cataloguing of all props. The Creative Event Director will be responsible on creating packing lists pre-event and overseeing sub-contractors pre-and post-event packing. 

• The Creative Event Director will work with vendors to execute the event’s design concept, working with technical teams on lighting and stage design, liaising with venues, and manage all design-related aspects on live events. 

• Understand design trends, vendor products, props/design elements, and production techniques.

SKILLS & QUALIFICATIONS

• Experience – Proven work experience as an event designer with solid portfolio of previously and successfully managed events, such as weddings, parties and corporate events.  The Creative Event Director will have extensive knowledge of production vendors, production resources, and other event resources.

• Project & Team Management – The Event designer will require to map out the resources necessary to complete the design aspects of an eventExcellent team management skills to work effectively in a team setting and to lead a team if assigned to do so – ability to identify requirements of staff and coordinate team activities

• Attention to detail – aspiring to achieve visual perfection from the small details in the clients’ website of stationery design to the large structural design. 

• Communication skills – Excellent communication (verbal and written)The Creative Event Director will need to be a good listener to understand the needs of the client. They also rely on interpersonal communication and collaboration skills when working on-site to install design elementsThey will work with venues, creative vendors, contractors, employees, wait staff and many other parties at the same time. 

• Negotiation skills – excellent negotiation skills are needed to get the best deals from the various vendors.

• Time management skills – making sure the decor of an event matches the original design plan takes an event designer who can prioritize tasks based on urgency and importance.

• Computer Skills Strong ability to utilize MS Office products effectively in additional to the design software – CAD, InDesign and Photoshop. 

• Problem Solving – Proven ability to expect and solve problems related to production timeline and creativity

• Creativity – Innovative minded individual with strong ability to generate new ideas continually concerning design creation and production techniques.

• Positive Approach – Possess positive attitude with the ability and willingness to work with clients and professionals from other departments of the company.

• Work Under pressure & Problem Solver – Strong ability to handle issues proactively – ability to troubleshoot problems quickly and give a solution. The Creative Event Director will need to remain calm during crisis and the high pressure of an event in progress.

• Multitasking – Strong ability to manage several projects together independently.
